What United Community receives

The United Community file BankFileKit makes from a sample QuickBooks report with fake checks. You see this proof for your own file before anything leaves your browser.

4 checks$23,187.861 void

Compare these totals with your QuickBooks report.

  1. Line 1. One check per line: account number, issue date, check number, amount, payee and issue/void code, in this order.

  2. Line 3. A voided check, marked V, with its original amount. QuickBooks shows voids as $0.00, so BankFileKit asks you for the original amount.

How to send it to United Community

  1. United Community maps your file to your Check Positive Pay profile for you. Download the free test file from BankFileKit and send it to United Community as your sample file.
  2. Tell them it's tab delimited, in this order: account number, check date (MM/DD/YYYY), check number, amount, payee name and a void indicator (V for void, blank for issued). There's no header row.
  3. If you ever change the file, United Community asks for a new sample file so they can update your format.

Good to know

  • This layout follows the tab-delimited sample in United Community's instructions: account number, check date, check number, amount with cents, payee name and V for a voided check.
  • United Community says column order isn't fixed, because they map your file for you. Send them a sample before your first live file.
  • The payee name must match the name printed on the check exactly.

Where United Community's guide doesn't say

BankFileKit fills these in with safe defaults. Your test file confirms them with United Community before you send a live file.

  • BankFileKit default: The account number is on every line, as in United Community's sample. It's required only if more than one account has Check Positive Pay.
  • BankFileKit default: Issued checks leave the void column blank, so every line has the same number of columns.
  • BankFileKit default: Check numbers up to 10 digits, from the fixed-length note in United Community's instructions.
  • BankFileKit default: Voided checks carry the original check amount.
  • BankFileKit default: Line endings: Windows (CRLF). Text: plain ASCII.

Note: Send a test file to United Community first

Before your first live file, download the free test file with your first 3 checks, send it to United Community, and confirm it was accepted. BankFileKit can't guarantee that United Community will accept a file.
