What your bank receives

A real Synovus file, made by BankFileKit from a sample QuickBooks report with fake checks. You see this proof for your own file before anything leaves your browser.

4 checks$23,187.861 void

Compare these totals with your QuickBooks report.

  1. Line 1. The check number and payee, exactly as printed on the check. The payee is the "Print on check as" name from your QuickBooks vendor list, which the Check Detail report leaves out.

  2. Line 2. A payee name with a comma goes in quotes, so the bank reads it as one name.

  3. Line 3. A voided check (V), sent with its original amount. QuickBooks shows voids as $0.00, so BankFileKit asks you for the amount.

Why bookkeepers use BankFileKit

  • Works with your report as exported

Split lines, expenses and voids are handled for you. You don't edit the QuickBooks report first.

  • Works in your browser

Check details, payee names and bank account numbers are never uploaded to or stored on our servers.

  • Built from your bank's published spec

Every bank format links to the document it was built from. If your bank isn't listed, you set up your own layout, clearly labeled as yours.

Questions

Does my check data leave my computer?

No. All file processing happens in your browser. Check details, payee names and bank account numbers are never uploaded to or stored on our servers. Our servers store only your email address, plan and license.

Which banks can I make files for?

Alerus, Associated Bank, Bank of Hawaii, Choice Bank, Columbia Bank, Dollar Bank, Farmers & Merchants Bank of Long Beach, First American Bank, First Citizens, First Commonwealth Bank, Huntington, Johnson Financial Group, Mechanics Bank, Mid Penn Bank, Rockland Trust, Simmons Bank, Synovus, Truist, Union Bank & Trust and United Community, each built from the bank's published file spec. TD Bank works as your own layout, with the limits the bank has published.

Each bank links to the document its format was built from.

My bank isn't listed. Can I still use BankFileKit?

Yes. Choose "My bank isn't listed" and set up your own layout to match your bank's import screen or the file spec your bank gave you: the columns, separator, date format and how voids are sent. It's always labeled as your layout, never as a bank-verified format.

Does it work with QuickBooks Desktop and QuickBooks Online?

Both can export a Check Detail report as Excel or CSV, and BankFileKit reads either, exactly as exported. It keeps one row per check, skips the split lines under each check, and leaves out Expense and Sales Tax Payment rows unless you include them. An Excel or CSV list of your checks works too. If BankFileKit can't tell which column is which, it asks you to match them once and remembers your choice.

To make payee names match your printed checks, add your QuickBooks Desktop vendor list with "Print on check as," or an Excel list with two columns: Vendor and Name on check.

Why do I have to send a test file first?

Your bank has to accept the file before you rely on it. The first time you use a bank or layout, download the free test file with your first 3 checks, send it through your bank's test or file validation option, and wait for the bank to confirm it was accepted.

Will my bank accept the file?

BankFileKit builds each file from your bank's published spec, or from the layout you set up, and checks every row before you download. It can't guarantee that your bank will accept a file, which is why the test file comes first.

You must review every file before submitting it to your bank. You are solely responsible for the files you upload to your bank and for the payments, checks and account details they contain.

What's the refund policy?

Full refund within 14 days of purchase, only if no files have been exported. Free test files (first 3 checks) don't count as exports.
